What Is the Pipeline?

Your Enrolment Pipeline is a step-by-step process that tracks where prospective students are in their enrolment journey from initial contact to final acceptance. Funnel helps schools manage each stage efficiently.

How Pipeline Stages Work

πŸ”Ή The pipeline moves in a clear order, starting from first contact and ending with either a Won or Lost status.

πŸ”Ή Stages can be added, removed, or renamed, but this should only be done when absolutely necessary.

Key Stages in the Pipeline

  1. Initial Contact – Families submit an Enquiry or Tour Booking Form via the school's website. A quick response helps establish a strong relationship.

  2. Application Form – Families provide detailed information, upload documents, and pay fees. Schools may need to assist with questions and follow up on missing signatures.

  3. Interviewing & Waitlisting – Schools schedule interviews through Funnel’s Bookings module and decide whether to offer enrolment or place students on a waitlist.

  4. Offer of Enrolment – Schools send an Enrolment Form, where families confirm their acceptance, upload final documents, and pay confirmation fees.

  5. Won & Lost Stages –

    1. Won Stage – The student has accepted their enrolment, and data is exported to the school's Student Management System.

    2. Lost Stage – The student has withdrawn interest or been declined at any step.

Important Notes on Editing Pipeline Stages

⚠️ Making changes to enrolment pipeline stages should only be done by the main admin of your Funnel account.

⚠️ It is strongly advised that changes to this area are only made when absolutely necessary, as adjustments can impact reporting and data tracking.

Best Practices

βœ”οΈ The pipeline should be linear, with each student moving logically through the process.

βœ”οΈ Won & Lost stages should always be the final steps.

βœ”οΈ Use Dynamic Lists & Filters to manage applicants by entry year, year level, or process completion.

βœ”οΈ If unsure about pipeline setup, reach out to your Customer Success Manager before making changes.
