Adding TASS Version 3 Endpoints to Funnel Integration

If you use Funnel > TASS integration and want to add the TASS version 3 endpoints, here's what you need to know.

Do you need to upgrade to v3?

Nope, you don't need to upgrade to v3. As mentioned above, v3 will add to your existing integration, but it doesn't change the mapping you already have. If the endpoints available in v3 are ones used by your school, we would be happy to complete the upgrade. However, if you are satisfied with your current integration, you can continue using it as it is.

What are the differences between v2 and v3?

Upgrading to the TASS v3 integration will not change the existing integration on your account. Instead, it will allow you to map several fields/areas that were not previously available.

If you would like to send data to any of the following areas, you will need v3:

  • TASS Medical User Defined fields

  • TASS Medical section

  • TASS Immunisation section

  • Additional addresses to the "Address and Communication Rules" tab (you can then manually check the "emergency contact" checkbox to share that data on the "Emergency Contacts" tab)

  • Student Notes

If you are using UD areas for any of the following information, you will NOT need v3 (these are covered by v2):

  • Medical information

  • Immunisation data (including status)

TASS's documentation here provides detailed technical information on the endpoints available in each integration version.

What you need to know

Medical Information will be reorganised into “Collections”

Most of the changes in v3 relate to transferring medical information to the Student Medical area in TASS. If your Enrol-type forms do not already collect lead medical information in “collections”, we may need to change how these fields are organised. This will also apply to immunisation records.

“Collections” enable multiple data sets to be collected on a particular group of fields. On your forms, for example, your guardian fields are typically a collection, meaning there are a specific set of fields related to guardians that are grouped (e.g. first name, last name, email, phone, address), but multiple guardians can be entered on a single form. In the same way, a collection of fields related to specific medical conditions might be grouped, but several medical conditions can be entered.

You can see an example of the structure of the medical collection fields here:

You may need to update some data

In some cases, we may need to create new fields for data already being collected so the new fields are in the correct format for v3. This may result in data on two fields (old and new). You can then copy the data from the old fields onto the new ones, and then we can remove the old ones for you. We will let you know if any fields have been affected.

You can still use the v2 export

During this upgrade, you can still use your existing v2 export. However, please keep in mind that once you have enabled the security role required for v3, we will need to make a quick change to enable your v2 export to continue working until the v3 work is complete.

There is no charge for the upgrade

Like you, we want your admissions process to be as quick and easy as possible. If you are already using TASS integration, we are pleased to offer this upgrade at no additional cost.

How to request the upgrade

You can request the upgrade by emailing your Customer Success Manager.

If you don’t know who your Customer Success Manager is, please ask our Support Team using the Messenger icon at the bottom right of your screen.

The upgrade process

  • You request the upgrade from your Customer Success Manager.

  • You will be asked to update your TASS security permissions.

  • We will test the permissions.

  • We will provide you with a spreadsheet that includes data from your TASS instance related to medical conditions, immunisation data and immunisation statuses. You will need to update the spreadsheet to show which options you use.

  • We will create any new fields needed, update your forms and update your integration to include the new fields.

  • You will review any form changes and publish the forms.

  • You will thoroughly test the export and give us feedback about any changes that need to be made.

Timeframe

Once your security permissions are updated and tested and you have returned the required information via the spreadsheet, it will typically take us approximately 2-4 weeks to complete the required changes to your account and have the updated integration ready for testing. Further changes after testing will take approximately 1-2 weeks. This timeframe may vary according to the workload and resources at the time your project is being completed. Your Project Manager will be able to give you a more accurate estimate.
