What are the differences between v2 and v3?

Upgrading to the TASS v3 integration will not change any of the existing integration mapping on your account. Rather, it will allow you to map a number of fields that were not previously available in the integration. Most of these fields relate to medical information and emergency contacts.

You can find detailed technical documentation on the endpoints available in each version of the integration in TASS’s documentation here.

Do you need to upgrade to v3?

Nope, you don't need to upgrade to v3. As mentioned above, v3 will add to your existing integration, but it doesn't change the mapping you already have. If the endpoints that are available in v3 are ones that are used by your school, we would be happy to complete the upgrade. However, if you are satisfied with your current integration, then you can certainly continue using it as it is.

What you need to know

Medical Information will be reorganised into “Collections”

Most of the changes in v3 relate to the transfer of medical information to the Student Medical area in TASS. If your Enrol-type forms do not already collect lead medical information in “collections”, we may need to change how these fields are organised. This will also apply to immunisation records.

“Collections” enable multiple sets of data to be collected on a particular group of fields. On your forms, for example, your guardian fields are typically a collection, meaning there are a specific set of fields related to guardians that are grouped together (e.g. first name, last name, email, phone, address), but multiple guardians can be entered on a single form. In the same way, a collection of fields related to specific medical conditions might be grouped together, but several medical conditions can be entered.

You can see an example of the structure of the medical collection fields here:

You may need to update some data

In some cases, we may need to create new fields for data that is already being collected so that the new fields are in the correct format for v3. This may result in data on two fields (old and new). You can then bulk edit the data on the old fields onto the new fields, and then we can remove the old fields for you. We will let you know if any fields have been affected. (If you don’t want to complete this data cleanup, you may consider engaging our Professional Services team to complete it for you).

You can still use the v2 export

During this upgrade, you can still use your existing v2 export.

There is no charge for the upgrade

Just like you, we want your admissions process to be as quick and easy as possible. If you are already using TASS integration, we are pleased to offer this upgrade at no additional cost to you.

How to request the upgrade

You can request the upgrade by emailing your Customer Success Manager.

If you don’t know who your Customer Success Manager is, please ask our Support Team using the Messenger icon at the bottom right of your screen.

The upgrade process

  • You request the upgrade from your Customer Success Manager

  • Your Customer Success Manager will introduce you to your Project Manager

  • Your Project Manager will ask you to update a number of TASS security permissions

  • We will test the permissions

  • We will configure the additional fields

  • We will ask you to thoroughly test the export and give us feedback about any changes that need to be made

Timeframe

From the time your security permissions are updated and tested, it will typically take us approximately 2-4 weeks to complete the required changes to your account and have the updated integration ready for testing. Further changes after testing will take approximately 1-2 weeks. This timeframe may vary according to the workload and resources at the time that your project is being completed. Your Project Manager will be able to give you a more accurate estimate.
