Parent Portal

Primary guardian details will now be pre-filled within enrolment, event and booking forms when invited via a Funnel email.

ℹ️ Who can use the Parent Portal feature
Any school with Parent Portal enabled on their account can access this feature. Please contact support to have this enabled.

How it works

Primary guardian details will now be pre-filled within enrolment, event and booking forms when invited via a Funnel email. This will reduce duplicates and remove the need for parents to manually input information, reducing the risk of errors and preventing duplicates.

This will happen via the following process:

  1. When the parent clicks the link to access the form from an email, they will be asked to enter a 6-digit security code, which will have been sent to their email, to confirm their identity and protect their information.

  2. After entering the code, the parent is taken directly to the form you invited them to. Any previously captured information (e.g. name, date of birth, year of entry) will be pre-filled directly into the fields of the form. In most cases, they simply need to review, confirm, or update any outdated information.

  3. After submitting the form, they’ll have the option to access their Parent Dashboard.

Parent Portal Dashboard Overview

From the dashboard, parents can:

  • View and download previous enrolment submissions (PDF)

  • Manage and view all siblings linked to their account

  • See associated guardians for each sibling

  • Update basic information such as names and email addresses

  • Note: At this stage, the ability to edit information is limited, with a focus on reducing data duplication.

Before Parent Portal is enabled, please check:

  • Support / Contact Details: Currently, we have per form contact details that are displayed on the Welcome page of Enrol forms. You will need to set these details at a global level so they show on the Parent Portal dashboard. Please contact support to have these added.

  • Internal forms: If you have a Basic Form that shouldn’t be visible to parents (eg an interview form), you need to update this to be an internal form type so they don't appear in the parent portal as a previous submission.

To hide these forms, open the Form editor, go to Settings, and change the form type from Basic to Internal.

FAQs

  1. Q: Who receives pre-filled data? A: We only pre-fill the form when sent to the primary guardian. For example, if you email all guardians, only the primary guardian would have information pre-filled, assuming they have completed previous submissions.

  2. Q: Why don’t you pre-fill other guardians? A: To keep things simple and protect family privacy, we are currently only pre-fill information for the primary guardian. This helps avoid any incorrect assumptions, particularly in cases of split families - where sharing certain details may not be appropriate. If another guardian is emailed a form, they’ll receive an empty form for them to complete. In the future, we may set up the ability for the primary guardian to invite guardians to the portal.

  3. Q: Can you customise the branding of the portal? A: Not right now. The portal currently inherits the school's logo and branding colours based on the enrolment forms.
    To ensure a consistent and polished experience for your families, we recommend using only a single primary colour on your forms. If your school currently uses both a primary and secondary colour, please consolidate to just one before the portal is activated.

  4. Q: Can you show other forms in the portal? A: No, you only can see previous applications you’ve submitted. In the future, we’d like to support the ability for schools to choose which forms they can see in the portal based on our current checklist triggers.

  5. Q: What do other guardians see in the portal? A: Other guardians, who aren’t the primary will only see applications they have previously submitted.

  6. Q: What does ‘Key Contact’ mean? A: The Key Contact is what we refer to as the Primary Guardian in Funnel. It’s simply a more parent-friendly label used to make the experience clear and approachable.

  7. Q: Can you make fields ‘read only’ on the event and booking forms? A: No, we don’t currently allow fields to be read only as you may have invitees who don't have information captured.

  8. Q: Is there a URL for the portal? A: Yes, the Parent Portal has its own URL, which is appended to your form domain, for example:
    https://enrol.school-custom-domain.edu/portal
    Currently, this URL isn’t included as a token in email templates, as the primary goal is designed to take parents directly to the relevant form. However, in the future, we plan to support directing parents to the portal so they can view the next steps in their enrolment journey.

  9. Q: What information can be edit in the portal? A: Currently, only the first and last name for the guardian and lead.

  10. Q: How does independent students work for the portal? A: Independent students won’t see any guardian information on the form and will continue with the same process they are already familiar with.

  11. Q: What happens if I change the Primary Guardian in Funnel? The Primary Guardian will have access to any previous submissions submitted from the Primary Guardian.
