Within the Bookings module, it's possible to set up scenarios with multiple interviewers and multiple attendees. This means your unique booking situations can be easily managed by Funnel!
Group bookings
You can create bookings that can accomodate multiple groups when creating or managing a booking type.
Group bookings are commonly used for small groups, like campus tours!
1. Changing an existing booking type to group bookings
Navigate to the Bookings module in Funnel, click "Manage time slots" and "Manage booking types". Next, locate the booking type you'd like to update and click the three dot menu. From the drop down menu, select "Manage booking type" again.
After navigating to the tab, you can configure the Number of groups per booking, which will allow you to generate multiple availabilities per booking time.
Once you've set the number of groups per booking, you'll be taken to a spot where you can manage your time slots. Here you'll notice that the calendar has automatically created the correct number of sessions per booking!
For example, if you had 3 groups per booking when generating your session times, the calendar will automatically generate those 3 availabilities.
2. Creating a new booking type with group bookings
Now we'll show you how to create a new booking type that accommodates group bookings.
First, navigate to the Bookings module in Funnel. Then click "Manage time slots" and "New booking type". Fill out the first few steps until you reach "3. Sessions"
On the sessions page, you can configure the Number of groups per booking, which will allow you to generate multiple availabilities per booking.
Once you've set the number of groups per booking, the calendar will automatically create the correct number of sessions per booking.
For example, if you had 3 groups per booking when generating your session times, the calendar will automatically generate those 3 availabilities.
Bookings linked to an interviewer
If you have dedicated interviewers, you can add these to your booking types. This will generate a session for each interviewer and will simplify the setup for bigger booking types. Adding interviewers will also allow the system to send a dedicated booking confirmation email to the interviewer, create a separate calendar link per person and allow an individual virtual link if the booking is virtual.

Navigate to the bookings module in Funnel, click "Manage time slots" and "Manage booking types". Locate the booking type you'd like to update and click the three dot menu. From the drop down menu, select "Manage booking type" again.
After navigating to the tab, you can select the Link sessions to an interviewer option and then add your interviewers.

On the Sessions page, you can select the Link sessions to an interviewer option and then add your interviewers.
3. Adding interviewers
When adding an interviewer, you'll be prompted to select a Funnel user within the system to be assigned as an interviewer, or you'll have the option to add a new interviewer. When adding a new interviewer, you'll need to type their name and then add the email which is used to let that person know when someone booked a session. If this is a virtual booking type, you can also add a virtual booking link per interviewer.
Once you've set the number of groups per booking, the calendar will automatically create the correct number of sessions based on the number of interviewers.
For example, if you assign 3 interviewers, the calendar will automatically generate 3 availabilities per session time.
4. Changing interviewers for all time slots
To change interviewers, navigate to "manage booking type" and click on the "Sessions" tab. In here, you can click into an existing interviewer and click the three dots menu. From the drop down menu, select "edit interviewer". Then simply change the interviewer and email address here.
Please note:
New bookings will be automatically assigned to the new person.
All existing upcoming bookings will be automatically transferred to the new person
All existing past bookings will keep the previous interviewer.
5. Removing interviewers
5a. Removing interviewers from all time slots
To remove one or more interviewers from a booking type, navigate to "manage booking type" and click on the tab. In here you can click into an existing interviewer and click the three dots menu, selecting "Remove interviewer" from the drop down menu. This change will be set live and is reflected on the booking form immediately.
5b. Removing an interviewer for one day or time slot only
If an interviewer is absent or unavailable at a certain time or day only, you can update the individual time slot without affecting the global booking type settings.
Navigate to "mange booking type" and click on the corresponding time slot on the calendar. When the slide-out appears on the right, click on the edit icon and scroll down until you see the interviewer you want to remove. Click the remove icon next to the interviewers' name and click on "Save changes". This change will be set live and is reflected on the booking form immediately.
6. Viewing booked sessions per interviewer
You can view an overview of all bookings for a specific day and interviewer by navigating to the Bookings module, then choosing the booking type and day that you would like to view. When viewing the list of all booked sessions, you can filter by interviewer using the quick filters shown above the table.
7. Can I copy an interviewers individual calendar link?
Yes, you can copy individual interviewer calendar links. From your booking page navigate to "Manage booking type" and click on the tab. Click the three dot menu next to your interviewers name and "Copy individual calendar link".

Q. What happens if I have an existing booking type where I generated multiple session times at the same time slot to cater for multiple bookings?
The calendar will automatically consolidate those bookings and generate the availabilities.
Q. What happens if I have session times running at different start times that overlap? We allow a maximum of two sessions to overlap.
Q. Can I generate a calendar link per interviewer?
Yes, you can do so by following the instructions here.
Q. How are the interviewers assigned?
Bookings will be randomly assigned to an interviewer with availability.
Q. Will the registered leads be notified when I change an interviewer?
No, this change will happen in Funnel only.
Q. When a booking type is virtual, where can I find the individual booking link to be sent to the lead?
This link can be set up in the "sessions" tab under "manage booking type" and the leads will receive the virtual link when they book a time.
Q. Can I change a booking type from multiple sessions per booking to just 1 session per booking?
If there are no booked sessions this can easily be done via "manage booking type" or by going to the "manage time slots" calendar and then clicking the settings cog and reducing the amount of groups per booking.
If there are existing booked sessions, reducing the amount of groups per booking will result in those booked sessions being cancelled.
Q. What if an interviewer is unable to attend on the day? Can I transfer bookings?
Yes, you can do this by changing the interviewer on that day only.
Q. Are there any changes to what the parents/ guardians see on the booking page when they are booking a session?
Our booking form remains unchanged.
The parents/guardians will not be able to see how many sessions are available to book at a set time. For example, if there are 4 available sessions at 9am, there is only 1 bookable sessions shown on the form. Once the parent/guardian books this, the next person can also book a 9am session and so on until all 9am sessions are fully booked.
The parents/guardians will not be able to see which interviewer they are making a booking with, they can only see the time and the location of the booking.
Q. Can I keep existing booked sessions when I remove an interviewer ?
When you remove an interviewer, the system will check if there are any upcoming booked sessions with that interviewer. If there are, Funnel will offer to transfer these to another available interviewer. If there are no available interviewers left, the system will warn you and you have the option to cancel these and email the registered leads.
Q. Can I keep existing booked sessions when I reduce the amount of group bookings?
When you reduce the amount of group bookings globally or on an individual time slot, the system will check if there are any upcoming booked sessions that won't fit within the new settings. If there are, Funnel will offer to
